AI Spreadsheets for Inventory, Sales and Customer Tracking

Every small business ends up running on spreadsheets: the stock count, the sales log, the list of customers who owe money. Usually they grow by accident and become messy. With an AI spreadsheet tool you can start with a clean, properly built file instead — just by describing what you need.

Below are three of the most useful business spreadsheets, what each should include, and a ready-to-use request for each one.

1. Inventory tracker

What it should do

  • List every product with SKU, category, supplier and cost price
  • Track stock in, stock out and current stock
  • Flag items below a reorder level
  • Show stock value at cost and at selling price

Example request

"Build an inventory spreadsheet for a small gift shop with 40 products across candles, cards, jewellery and homeware. Columns: SKU, product name, category, supplier, cost price, selling price, stock in, stock out, current stock, reorder level, reorder flag. Highlight anything below its reorder level. Add a dashboard showing total stock value, the 10 items with the lowest stock, and a chart of stock value by category."

Keeping it current

Update stock out daily or weekly from your sales, and stock in whenever a delivery arrives. Check the reorder flags every Monday. Ten minutes a week prevents the "sorry, we're out" conversation with customers.

2. Sales tracker

What it should do

  • Record every sale with date, product, quantity, price and channel (shop, website, market)
  • Calculate revenue and profit per sale
  • Summarise by week and month
  • Rank your best and worst sellers

Example request

"Create a sales tracker for an online skincare shop. Each row is one order: date, order number, product, quantity, unit price, discount, shipping charged, channel (website, Instagram, market stall). Calculate revenue and profit using a cost price lookup sheet. Add monthly totals for the whole year, a ranking of the top 10 products by profit, and charts for monthly revenue and sales by channel."

What to look for each month

  • Which products make the most profit, not just the most sales
  • Which channel brings the most revenue for the least effort
  • Products that haven't sold in 60 days — candidates for a discount or removal

3. Customer tracker (a simple CRM)

What it should do

  • List customers with contact details and where they came from
  • Record first purchase, last purchase, number of orders and total spent
  • Show who hasn't bought in a while
  • Track follow-ups and notes

Example request

"Build a customer tracker for a freelance photographer. Columns: name, email, phone, source (Instagram, referral, Google, wedding fair), first booking date, last booking date, number of bookings, total spent, next follow-up date, notes. Highlight customers whose follow-up date has passed. Add a dashboard showing customers by source, total revenue by source, and the top 10 customers by total spent."

Why it matters

Your best new customers usually come from past customers. A tracker that shows who hasn't heard from you in six months turns into a simple list of people to email with an offer or a thank-you.

Tips for better AI spreadsheets

  • Name your real categories. "Candles, cards, jewellery, homeware" gives you a file that fits your shop immediately.
  • Say how many rows you need. "40 products" or "a full year of daily sales" tells the AI how big to build it.
  • Ask for a dashboard. Numbers on a summary page with charts get looked at. Raw tables don't.
  • Ask for highlighting rules. Low stock, overdue follow-ups and unpaid invoices should stand out in colour.
  • Check the formulas. Change one number and make sure totals move. Volnyn adds a validation sheet that checks the file for you, but a quick look of your own is always wise.

Connect the dots

These three sheets work best together: sales reduce stock in the inventory tracker, and each sale adds to a customer's history. Start with whichever one hurts most today — usually inventory for shops, customers for service businesses — and add the others later.

Everything in one place

In Volnyn, spreadsheets live in the same Space library as your website, AI images, videos and documents, so your business data sits beside everything else you make. Start free and describe your first tracker in one paragraph.
