Email addresses

Every email address your AI uses, in one list. Mail sent to an address becomes a task. Create new addresses for particular jobs, like invoices or support, and choose who answers each one.

Volnyn gives you email addresses on volnyn.site. Send or forward an email to one and Volnyn, or one of your agents, reads it and does the work: "Read invoices sent here and add each one to my Expenses sheet."

Open the list from the account menu (your name at the bottom of the sidebar) → Settings → Email.

What is in the list

To change your main address, use Settings → Mail Volnyn.

Creating an address

Click Create.
Under Address, type the part before the @, for example invoices. The domain is added for you.
Under Who answers it, pick Volnyn or one of your agents.
If Volnyn answers it, add Instructions (optional): what to do with mail sent here.
Click Create. "Address created".

Address rules:

3 to 40 characters: letters, numbers, ., _ and -. It must start and end with a letter or number.
It cannot start with run-, flow- or agent-. Those are kept for Volnyn's own addresses.
Common system names such as admin and postmaster are not allowed.
It must not already be taken.

You can create up to 20 addresses. "You can have up to 20 addresses. Delete one to make another."

An address's page

Click an address to open its page.

Row	What it shows

Answered by	Volnyn or an agent. For addresses you created, change it here. For the main address and agents' own addresses, it is fixed.
Who can send	"Only you", or "You and 3 approved senders". "Mail from anyone else is held." Manage opens your approved senders in Mail Volnyn.
Instructions	What Volnyn does with mail sent here, when Volnyn answers it.
Inbox	The latest mail sent to this address.

Each message in the Inbox has a status:

Status	Meaning
Received	It arrived and became a task.
Held	It came from someone who is not an approved sender, so nothing was done.
Not delivered	It could not be handled. Hover over it to see why.

Delete address removes an address you created. Click it twice to confirm.

Who answers

Answered by	What happens to mail
Volnyn	Volnyn starts a task from the email and follows the address's Instructions.
An agent	The agent reads the email and does the task, using its own instructions and tools.

Your own mailbox

Your mailboxes, below the list, connects Gmail or Outlook Mail. "Connect Gmail or Outlook so the agent can read and reply from your own address."

Mail answered through a volnyn.site address is replied to from Volnyn's mail service, not from that address. To reply as yourself, connect your own mailbox.

Tips

One address per job. invoices@, receipts@ and leads@ with their own instructions work better than one address that does everything.
Write instructions as steps. "Read the invoice, add vendor, date and amount to my Expenses sheet, and reply with the total."
Add approved senders before you give an address to a colleague or a supplier. Until then their mail is held.
Check the Inbox on the address's page when something did not happen. Held and Not delivered tell you why.

FAQ

Can anyone email my addresses?

Anyone can send, but only mail from you and your approved senders is acted on. Everything else is held.

Why can't I delete my main address or an agent's address?

They are part of your account and your agents. Every agent always keeps its own address, so it cannot be deleted here.
