Subscribers, customers and email
Collect newsletter subscribers and email them, manage the customers who sign up on your site, set the reply-to address for your site's emails, and edit the automatic emails customers receive.
When visitors subscribe to your newsletter, create an account, place an order, book a room, enrol in a course, or donate, your site keeps a record and sends them emails. This page covers where those people are listed and how to control what they receive.
Where to find it
| Tool | Address |
|---|---|
| Subscribers | /user/subscribers |
| Mail Subscribers | /user/mailsubscriber |
| Mail Information | /user/mail/information/subscriber |
| Mail Templates | /user/mail_templates |
| Registered Users | /user/register-user |
| Followers / Following | /user/follower-list, /user/following-list |
Newsletter subscribers
Visitors join your list through the newsletter box on your site (turn the Newsletter section on in Sections Hide/Show — see Pages, menus and sections).
Open Subscribers (/user/subscribers) to see everyone on your list. Search by Email to find someone, and Delete people one at a time or several at once.
Email your subscribers
- Open Mail Subscribers (
/user/mailsubscriber). - Enter a Subject and your Message.
- Click Send Mail.
The email goes to everyone on your subscriber list.
Mail Information
Mail Information (/user/mail/information/subscriber) sets two things for emails your site sends:
| Field | What it does |
|---|---|
| Reply To | The email address that receives replies from customers and subscribers. Use an inbox you check. |
| From Name | The name customers see as the sender, for example "Sweet Crumb Bakery." |
Set this before you email subscribers or start taking orders.
Mail templates
Your site sends automatic emails when customers do something. Mail Templates (/user/mail_templates) lets you rewrite them in your own words.
Mail templates are available on plans that include Ecommerce, Hotel Booking, Course Management, or Donation Management. You only see the templates for features on your plan.
| Template | Sent when |
|---|---|
| Email verification | A customer signs up and needs to confirm their email. |
| Reset password | A customer asks to reset their password. |
| Product order | A customer places a shop order. |
| Room booking | A guest books a room. |
| Course enrolment | A student enrols in a course. |
| Course enrolment approved / rejected | You approve or reject an enrolment. |
| Donation | Someone donates. |
| Donation approved | You mark a donation as paid. |
Edit a template
- Click Edit on a template.
- Change the Mail Subject and Mail Body.
- Use short codes to fill in details automatically. The table beside the editor lists the ones that template supports.
- Click Update.
Common short codes:
| Short code | Replaced with |
|---|---|
{customer_name} |
The customer's name |
{website_title} |
Your website title |
{verification_link} |
The email verification link |
{password_reset_link} |
The password reset link |
{booking_number}, {booking_date} |
Room booking number and date |
{room_name}, {room_type}, {room_rent}, {room_amenities} |
Room details |
{check_in_date}, {check_out_date}, {number_of_night}, {number_of_guests} |
Stay details |
{donor_name}, {cause_name} |
Donation details |
Keep the link short codes (
{verification_link},{password_reset_link}) in their templates. Without them, customers can't verify their email or reset their password.
Registered customers
Customers who create an account on your site are listed in Registered Users (/user/register-user). Registered users are available on plans that include Ecommerce, Hotel Booking, Course Management, or Donation Management.
Search by Username / Email to find someone. For each customer you can:
| Action | What it does |
|---|---|
| Details | See their name, email, phone, and address. |
| Account Status | Active lets them log in. Deactive blocks them. |
| Email Status | Mark their email as Verified or Unverified. |
| Change Password | Set a new password for them — handy when someone is locked out. |
| Secret Login | Log in to your site as that customer to see what they see. |
| Delete | Remove the customer, one at a time or several at once. |
Followers and following
On plans that include Follow/Unfollow, Volnyn users can follow each other's profiles.

/user/following-list) — people you follow. Click Unfollow to stop.
Emails Volnyn sends you
The emails above go from your site to your customers. To control emails Volnyn sends you — for example updates about scheduled tasks — open Settings → Mail from your account menu and turn Email notifications on or off.
Tips
- Set Reply To to an inbox you read every day. Customers reply to order and booking emails.
- Write templates in a friendly, short style, and put the most important detail — order number, booking date — near the top.
- Send your subscribers something useful, not just offers. People stay subscribed for value.
- Use Secret Login to check a customer's problem before you reply.
