Meeting notes
Upload a meeting recording, or record one in the browser, and Volnyn writes the transcript, a summary, action items, key points and decisions.
AI Meeting Notes turns spoken meetings into notes you can act on. Every meeting gets its own page with the summary at the top and the full transcript underneath.
Open it from the chat composer: + → AI agents → AI Meeting Notes. Or go to /user/meeting-notes.
Ways to add a meeting
The AI Meeting Notes page has three buttons:
| Button | Use it when |
|---|---|
| Import | You already have a recording. |
| New Note | You want to record a meeting now, from your browser's microphone. |
| Add Meeting URL | You want a note-taker bot to join a Zoom, Google Meet or Teams call. Available when the meeting bot is set up for your account. |
Import a recording
- Click Import.
- Choose the audio file. Accepted formats: MP3, WAV, OGG, M4A, MP4, WebM, AAC and FLAC, up to 18 MB.
- Optionally give it a title.
- Click Transcribe & Summarize.
Long meetings are larger than 18 MB. Export them as compressed audio (MP3 or M4A) rather than video before uploading.
Record in the browser
- Click New Note. Allow microphone access when your browser asks.
- Click Start Recording.
- While you talk, jot anything you want kept in Feel free to write notes here. Your notes are saved alongside the AI's.
- Click Stop Recording when the meeting ends. The recording is transcribed and summarised.
Send a bot to a live call
- Click Add Meeting URL.
- Paste the Zoom, Google Meet or Microsoft Teams link.
- Click Join & Record.
A bot called Volnyn Notetaker joins the call, records it, and your note appears when the meeting ends. The note page refreshes itself while it's processing. Let the host know the bot is joining — they may need to admit it.
If you see "Meeting Bot is not set up yet", this option isn't available on your account. Use Import or New Note instead.
What you get
Each meeting has its own page with:
| Section | What's in it |
|---|---|
| Summary | A short overview of the meeting. |
| Action Items | Each task, with its Owner and Due date where they were mentioned ("Unassigned" / "Not specified" otherwise). |
| Key Points | The main points discussed. |
| Decisions | What was agreed. |
| Your Notes | Anything you typed while recording. |
| Full Transcript | Everything that was said. |
The page also has an audio player and these buttons:
- Copy summary — copies the summary and transcript, ready to paste into email or a doc.
- Download audio — downloads the recording.
- Delete — removes the meeting.
Manage your meetings
The AI Meeting Notes list shows your meetings, newest first, with a search button. Each row's ⋯ menu has Rename (up to 160 characters) and Delete. Meeting notes also appear in Space under All.
Tips
- Record close to the speakers. Clear audio makes the biggest difference to the transcript.
- Say names and dates out loud when assigning work — "Sara, can you send the draft by Friday?" — so action items get an owner and a due date.
- Keep your own notes short. A few words next to a moment is enough; the transcript has the rest.
- Ask for consent before recording a meeting.
FAQ
How long can a recording be? The limit is by file size — 18 MB per upload — not by length. Compressed audio fits far more minutes than video.
Which languages work? Language is detected from the recording automatically.
Can I connect my calendar so the bot joins automatically? Not yet. Calendar connection is shown in settings but isn't available.
Can I get notes from a video file? Yes, MP4 and WebM are accepted — as long as the file is under 18 MB. Extracting the audio first is usually smaller.
Where are my recordings? Each meeting's page has Download audio.
