Online shop

Sell physical and digital products from your site. Add items with variations and stock, set shipping and tax, run coupons and flash sales, and move orders from pending to completed.

The online shop turns your site into a store. You add items, organize them into categories, set how shipping and tax work, and manage orders as they come in. Customers pay with the payment methods you connect in Payment gateways.

The shop is available on plans that include Ecommerce.

Where to find it

In the site sidebar, open Product Management:

Add ?language=en (or another language code) to manage item names and categories in that language.

Set up the shop

Open Shop settings (/user/item/settings) first:

Setting What it does
Shop Turns your shop pages on or off completely.
Catalog Mode Shows items and item details but removes prices, cart, and checkout. Useful for a showroom or "call to order" business.
Rating System Lets customers rate items.
Tax The tax percentage added at checkout. Enter 0 for no tax.

Your shop's currency comes from General Settings (/user/general-settings). See Pages, menus and sections.

Categories and subcategories

Organize items so customers can browse.

  1. Open Categories (/user/category) and add your main groups — for example "Men," "Women," "Kids."
  2. Open Subcategories (/user/subcategory) and add groups inside them — for example "Shoes" under "Men."

Create categories before you add items, so you can assign them right away.

Add an item

  1. Open Add Item (/user/item/type).
  2. Choose the Item Type:
    • Physical Product — something you ship. Has stock.
    • Digital Product — something customers download.
  3. Fill in the item form:
Field Notes
Title The item name.
Category The category (and subcategory) it belongs to.
Thumbnail and Slider Images The main image and extra gallery images.
Current Price / Previous Price Previous price shows crossed out, to highlight a discount.
Stock Item How many you have. Only used when the item has no variations.
Product SKU Your own stock code.
Summary and Description Short and full descriptions.
Tags Keywords for search.
Status Show to list it, Hide to keep it off the shop.
Meta Keywords / Meta Description Search engine text for the item page.

For a digital product, add the file: either File Upload (a .zip file) or a File Download Link. Customers can download it after they buy.

3D view (optional). Turn on Enable 3D Interaction View and upload a .glb model so customers can rotate the product.

  1. Click Submit.

Variations

Use variations when one item comes in options, such as sizes or colors.

  1. In Items (/user/item), click Variations on the item.
  2. Click Add Variant and name it — for example "Size."
  3. Click Add Option for each choice — for example "S," "M," "L" — and set:
    • Price — added on top of the item's main price. Use 0 for no extra charge.
    • Stock — how many of that option you have.
  4. Click Submit.

When an item has variations, stock is tracked per option instead of on the item.

Flash sales and special offers

From the Items list:

  • Flash — put an item on a timed sale. Set the Discount and the Start Date / Time and End Date / Time. The sale price ends automatically.
  • Special Offers and Featured — mark items to show in your theme's featured and special offer sections.

Shipping charges

Shipping applies to physical items.

  1. Open Shipping charges (/user/shipping).
  2. Click Add New.
  3. Pick the Language and enter:
    • Title — for example "Standard delivery."
    • Text — a short note, such as "3–5 business days."
    • Charge — the price.
  4. Click Submit.

Customers choose from these options at checkout.

Coupons

  1. Open Coupons (/user/coupon).
  2. Click Add Coupon and enter:
    • Name and Code (what customers type at checkout)
    • Type — Percentage or Fixed amount
    • Value
    • Start Date and End Date
    • Minimum Spend — leave blank for no minimum
  3. Click Submit.

The list shows whether each coupon is Active or Expired.

Manage orders

Every order has two statuses: the order status (where fulfilment is) and the payment status (whether you've been paid).

Order status Meaning
Pending New order, not started.
Processing You're preparing or shipping it.
Completed Delivered.
Rejected Cancelled.

To work on orders:

  1. Open All Orders (/user/item/all/orders), or a status list such as Pending Orders.
  2. Search by Order Number if you need a specific one.
  3. Change the Order Status or Payment Status from the dropdown on the order row.
  4. Click Details to see items, variations, billing and shipping details, payment method, and any uploaded Receipt (for offline payments).

When you change an order or payment status, Volnyn emails the customer to let them know.

Rejecting an order puts the stock back — both item stock and variation stock.

Other actions:

  • Send Mail — email the customer from the order.
  • Invoice — download the order invoice.
  • Delete — remove one order, or select several and delete them together.

Orders report

Open Report (/user/item/orders/report) to list orders over a period. Filter by:

  • From and To date
  • Payment Status
  • Order Status
  • Payment Method

Click Export to download the results as a spreadsheet.

Tips

  • Add categories first, then items — you'll assign categories as you go.
  • Use Catalog Mode while you're still setting up payments, so visitors can browse without buying.
  • Use variations for sizes and colors instead of creating separate items.
  • Keep your Pending list short. Customers get an email each time an order moves forward.

FAQ

Why can't I set stock on my item? The item has variations. Set stock on each variation option instead.

How do customers get a digital product? After a successful purchase, they can download the file or link you added to the item.

Can I sell without taking payment online? Yes. Add an offline payment method (such as bank transfer) in Payment gateways. Customers upload a receipt, and you mark the payment as completed.

Where do I set the shop currency? In General Settings (/user/general-settings).

Do customers need an account to buy? Customers who sign up on your site appear under Registered Users (/user/register-user). See Subscribers and email.
